Overview

Sample Brothers, Inc. ("Sample Brothers," "we," "us") is a manufacturer's representative headquartered at 232 Vance Road, Suite 204, Valley Park, MO 63088. This policy describes how we collect, use, and protect information when you visit samplebrothers.com (the "Site") or contact us through it. Our Site is intended for business-to-business use by industrial professionals, purchasing teams, and facility operators.

Information You Provide

When you submit an inquiry through our Contact Us form, we collect the information you enter: name, company or facility name, email address, phone number, state, and any project or equipment details you include. This information is sent directly to the appropriate Sample Brothers office based on the location you select (sales@samplebrothers.com for St. Louis/Kansas City, info@samplebrothers.com for Baton Rouge). We only collect this information when you choose to provide it.

Information Collected Automatically

Our Site is hosted by Network Solutions. As part of standard web hosting operations, their servers automatically record technical data each time a page is requested. This server log data includes:

• IP address of the requesting device
• Date and time of each request
• Pages and files accessed
• Referring URL (the page or search engine that directed you here)
• Browser type and version
• Operating system
• Volume of data transferred

Server logs are generated automatically by the hosting infrastructure and are retained in accordance with Network Solutions' standard hosting practices. This data is used to maintain site performance, diagnose technical issues, and protect against unauthorized access. Server log data is not combined with information you submit through our contact form.

Website Traffic Analytics

We use AWStats, a server-side log analysis tool included with our Network Solutions hosting account, to generate aggregate website traffic reports. AWStats processes server log files to produce summary statistics including total unique visitors, page views, bandwidth usage, top pages visited, referring websites, visitor geographic regions, and browser and device types. AWStats operates entirely from server-side logs. It does not place cookies on your device, does not execute JavaScript or any client-side code, and does not track individual users across sessions or identify you personally.

We may also use Google Analytics or a similar third-party analytics service to better understand how visitors interact with the Site. If implemented, these services use cookies and JavaScript to collect additional information such as time spent on each page, navigation paths through the Site, traffic source and medium, device category, screen resolution, and general geographic region. Google Analytics data is processed by Google under their own privacy policy. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on. If and when we implement Google Analytics or any similar tool, this section will be updated to reflect its use.

Cookies and Related Technologies

Our Site uses Cloudflare for content delivery, performance optimization, and security. Cloudflare may set strictly necessary cookies required for site delivery, including protection against malicious traffic. These cookies do not track browsing activity across other websites and are not used to identify you personally.

AWStats does not use cookies of any kind. If we add Google Analytics or another client-side analytics tool in the future, it may set first-party cookies to distinguish visitors and sessions. We will update this section before activating any such tool.

You can manage or disable cookies through your browser settings at any time. Disabling cookies will not prevent you from viewing the Site or submitting an inquiry.

How We Use Your Information

We use the information described above for the following purposes:

• Responding to inquiries, providing quotes, and delivering product or technical information you request
• Supporting ongoing business communication related to your projects or equipment needs
• Monitoring site performance, uptime, and reliability
• Understanding general traffic patterns and which content is most useful to visitors
• Protecting the Site against unauthorized access, abuse, or security threats

We do not use your information for automated marketing, behavioral advertising, or user profiling.

How We Share Your Information

We do not sell, rent, or trade your personal information. We may share information in these limited situations:

• Manufacturer partners. We may share inquiry details with manufacturers we represent (including Hilco, Donaldson, Hyspan, Camfil, API Heat Transfer, and others) when necessary to obtain specifications, pricing, or engineering support for your request.
• Hosting and service providers. Network Solutions hosts the Site and processes server log data as part of standard hosting operations. If we use Google Analytics, Google processes analytics data under their own terms. These providers act in a service capacity and are bound by their respective privacy policies.
• Legal obligations. We may disclose information if required by law, regulation, subpoena, or court order, or to protect the rights, safety, or property of Sample Brothers, our customers, or the public.

Data Retention

Contact form submissions are retained for as long as reasonably necessary to fulfill your request and support any ongoing business relationship. Server log data is retained according to Network Solutions' standard hosting retention periods. Analytics data, if collected through a third-party tool, is retained according to that provider's default settings and policies. To request removal of your contact information from our records, email sales@samplebrothers.com.

Data Security

We use SSL/TLS encryption for data transmitted through the Site and rely on Network Solutions' hosting security infrastructure, including Cloudflare protections. We take reasonable measures to safeguard information, but no system is entirely secure. Information is provided at your own risk.

Third-Party Websites

The Site contains links to third-party websites, including manufacturer partner sites. We do not control the privacy practices or content of those sites and are not responsible for them. Review the privacy policy of any site you visit through links on ours.

Children

The Site is designed for business and industrial use by professionals. We do not knowingly collect information from individuals under 18. If we learn that such information has been collected, we will take steps to delete it.

Your Rights

Depending on your location, you may have rights regarding personal information we hold, including the right to access, correct, or request deletion of that data. California residents may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information has been collected and the right to request its deletion. Geographic Scope

The Site and our services are intended for U.S.-based business inquiries. We do not intentionally collect information from individuals outside the United States.

We may update this policy as our practices or legal requirements change. When we do, we will revise the effective date at the top of this page. Continued use of the Site after changes are posted constitutes acceptance of the updated policy.
